School-Age Child Care Program

The Harmony-Emge School District #175 provides children of working parents in kindergarten through fourth grade with a safe, caring, and well-supervised environment for those before and after school hours when an  adult is not at home.  The program offers stimulating activities and games, as well as academic support with homework completion by providing the time and a quiet place for children to study.  We strive to achieve a ratio of one adult to every twelve (12) students.  Every child must be able to accomplish their own personal hygiene requirements, i.e., attend to their own hygiene/toilet needs.

Sign In/Sign Out Procedure

District 175 is committed to providing the greatest possible protection for its students.  We require that an adult who is at least eighteen (18) years of age sign out each child participating in our program.  All adults who pick up a child must be identified on the registration form.  For your child’s safety, photo identification may be required when picking up a child.

It is important that the information on the registration form be keep current.  Parents may modify the registration form at any time by changing the form at the program site.  Under no circumstances will information on the registration form be modified via telephone.

At the conclusion of the school day, all students must report immediately to the cafeteria.  If a student is participating in an after-school activity or has been asked to help a teacher in a classroom, the student must always report to the child-care room first.  Teachers are required to write a note requesting the child to return to the classroom after checking in.  A child is unable to leave the site without permission.

Snacks

Each child is provided an afternoon snack.  Your child may bring an extra snack on Fridays because it is movie day.  Any parent wishing to send a special snack for the entire group should coordinate this with the site director.  Our policy is that individually wrapped and commercially prepared snacks are permissible.

Administering Medication

Latch key is not allowed to give out any medication.

Illness

The same health-related policies and procedures that govern students within District 175, also apply to the child-care program.  When you call school to inform them that your child is ill and will be absent, please ask the secretary to inform the childcare personnel of the absence.  Children who arrive with any suspected illnesses will not be permitted to stay in the program.  Parents will be contacted if the child develops symptoms of illness at the program site.  If the child has had a communicable disease, a doctor’s written statement is required before the child will be permitted to return to the program. If a serious medical emergency arises requiring immediate medical attention, an ambulance will be called to transport the child to the hospital indicated on the registration form.

Discipline

The safety and wellbeing of all the children is very important.  Children will be expected to follow the same school rules, policies, dress codes and code of conduct that they follow during the regular school day, as well as any rules that pertain to the child care program.  If the program does not meet your child’s needs or your child is unable to adapt to the program, the child may be dropped or withdrawn from the program.

Participants are encouraged to be respectful and responsible.  A process is in place to handle inappropriate student behavior.  Initially, the supervisor will counsel with the child.  The problem will be discussed with the parent at the time of pick-up to prevent any future problems.  If there is no change in behavior within a specific time frame, a child may lose privileges, be reported to the principal, or be dismissed from the program.  When conduct of extreme nature occurs, the child will be dismissed from the program.  Re-entry into the program will be permitted only with approval of the principal.

Program Calendar

The program will follow the same calendar as the school district. It will not be available on any school holidays, including Christmas vacation.  The program will be available on selected days when school is dismissed at 2:30 pm and on days of half day student attendance (12:10 pm).  Please provide a sack lunch or purchase a school lunch for your child on these days.

Inclement Weather Procedures

Notices of inclement weather and school closings are coordinated with local radio and TV stations.  The District’s child-care program will not be in session if the District’s schools are closed.  Information about school closings is available on radio stations KTRS, 550 AM dial and major TV networks, channels, 2, 4, and 5.  Closings will be announced as early as possible, but no later than 7:00 a.m.

Registration Process

Advance registration can be made with the director of the child-care program.  Enrollment forms must be completed prior to attending.  A pre-enrollment non-refundable fee of $15 for the first child and $5 for each additional child is required at the time of enrollment.  The first week’s fee must be paid at the time of registration.  Currently enrolled children are required to pay a $10 registration fee to guarantee their place in the program for the fall.   

Payments

Subsequently, payments must be made one week in advance.  Monthly payments should be paid on the last Friday of the month for the following month.  Weekly fees should be made on the Friday before the week a child attends.  If payments are not paid within two (2) days, which would be Tuesday, your child will not be allowed to return until the fee and late payment are paid.  If a child arrives at the program without payment, a parent/guardian will be called to pick the child up and the child will not be able to participate in the program until payment has been made.

Payments can be made to the director of the program.  Checks and money orders are accepted.  If a check is returned for insufficient funds, payment of the bank fee is the responsibility of the person writing the check.  A credit card can be used on the District’s website – www.harmony175.org, , Under DistrictOn Line Payment system.  Select miscellaneous payments and fill in the form, select Miscellaneous Type of Payment and enter Latchkey and type in the amount and payment amount.  Select the type of credit card that you are using and click next.  Continue and submit payment.  The payment will be credited to your child’s account.

Parents who contemplate arriving late to pick up their child must call the school office (618.538.6114– X300) or the child care room (618.538.6114 - x390) by 4pm so that program personnel will be aware of the late arrival.  Parents arriving after 6:05 pm will receive an automatic late fee of $15.  Every additional minute after that is another dollar.  These late fees are necessary to cover additional personnel costs incurred.  These fees are due a week (5 school days) after the late arrival.
